Who we are 

Welcome to The Sir James Caird’s Travelling Scholarships Trust's (“Caird Trust”) privacy notice. This privacy notice provides information on how the Caird Trust, a charity registered in Scotland with charity number SC003423 and registered address at c/o Thorntons Law LLP, Whitehall House, 33 Yeaman Shore, Dundee, DD1 4BJ, collects and processes your personal data when you apply for a monetary award to support study in music for study (“Application”). 

The Caird Trust is the data controller of the information that you provide in your Application. It will share your Application with Thorntons Law LLP, a limited liability partnership, registered in Scotland (No. SO300381) with registered office at Whitehall House, 33 Yeaman Shore, Dundee, DD1 4BJ (“Thorntons”) for the purposes of administration and secretarial services relating to your Application. 

The personal data we collect about you and third parties 

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). 

We may process the following personal data when you fill in the Application, correspond with us, and during the administration of your Application and/or if successful, payment of the monetary award (“Award”): 

• Identity Data – includes name, marital status, title, date of birth, gender, nationality. 

• Contact Data – includes residential address, email address and telephone numbers. 

• Educational Background – educational history, musical interests, performances, proposed course of study. 

• Third Party Data – birth certificates of parents/grandparents (where necessary) and referee data. 

Any personal data that you provide to us will be used for the purposes of determining whether to provide (and if successful, pay-out) an Award. Your data is collected on the basis that is in the Caird Trust’s legitimate interest to process this personal information in the administration of your Application and if successful, pay-out of the Award. If you fail to provide any personal data when requested, or withdraw your Application, we will not be able to consider you for an Award. 

If your Application is unsuccessful, the Caird Trust will not retain your personal data. If your application is successful and an Award is made, the Caird Trust will retain your information for the duration of any award made to you as it is important for the Caird Trust to keep a record of who has received an Award for record-keeping purposes. The Caird Trust may retain the personal data for a longer period in the event of a complaint or if it is reasonably believed there is a prospect of litigation in respect of either the Caird Trust’s relationship with you. An exception will be in relation to original birth certificates, which will be returned to you immediately following noting them. The Caird Trust will not share your personal data with any other third party other than with Thorntons, as outlined above. We do not transfer your personal data outside the European Economic Area. 

Your legal rights 

Under certain circumstances, you have rights under data protection laws in relation to your personal data. These include requesting access to your personal data; requesting correction of your personal data; requesting erasure of your personal data; object to processing of your personal data; requesting restriction of processing your personal data; requesting transfer of your personal data; and right to withdraw consent. If you wish to exercise any of your rights please contact Thorntons at the details above. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, a reasonable fee may be charged if your request is clearly unfounded, repetitive or excessive. Alternatively, your request could be refused in these circumstances. 

You also have the right to make a complaint at any time to the Information Commissioner's Office, the UK supervisory authority for data protection issues (www.ico.org.uk). The Caird Trust would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact Thorntons at the details above in the first instance.
